Several participating delegations have recently requested to take their national group photos immediately following the Award Ceremony. The reasons provided include scheduled shuttle bus departures to hotels, tight travel arrangements, and competition events scheduled for the following day.

 

The Organizing Committee fully understands these requests and is committed to accommodating all delegations as fairly and efficiently as possible.

 

Since every delegation’s situation is reasonable and important, prioritizing individual requests would inevitably affect the overall event schedule and create challenges for on-site coordination. To ensure fairness among all delegations, improve operational efficiency, and minimize waiting time, a standardized group photo procedure will be implemented.

 

In addition, as the number of participating teams varies among countries, the photo session will follow a fixed-time allocation system. Each delegation will receive the same amount of time and may freely decide how to utilize the allocated period, including taking a full delegation photo, individual team photos, or other preferred arrangements.

🟦1. First Round of Group Photos

Photo Order Arrangement

The photo order for the first round will be determined through an online draw on:

The online draw allows all delegations to participate and witness the procedure in real time. The recorded video will also be retained for future reference.

 

📌Punctuality Requirement

All delegations must follow the order determined by the draw.

Before their scheduled turn, all members must be fully assembled at the designated waiting area according to the instructions provided by the Master of Ceremonies (MC).

 

📌Delay Policy

If a delegation is not fully assembled when called, the Organizing Committee will proceed with the next delegation that is ready.

Once the delayed delegation is fully prepared, the Organizing Committee will arrange the photo session at the next available time slot without affecting the overall schedule.

🟩2. Time Allocation

Five-Minute Time Limit

Each delegation will be allocated exactly 5 minutes during the first round of group photos.

 

📌Flexible Use of Allocated Time

Within the assigned 5-minute period, delegations may freely arrange their photography plans, including:

✅ Full national delegation photos

✅Individual team photos

✅Any other preferred photo arrangements

 

📌Transition Between Delegations

To ensure the event proceeds according to schedule, the next delegation will begin immediately once the allocated 5 minutes have ended.

🟨 3. Additional Photo Sessions (From the Second Round Onward)

If a delegation wishes to take additional photos after completing the first round, the Team Leader or designated representative may request a new photo slot number from the Master of Ceremonies (MC).

 

📌​Subsequent Photo Order

Additional photo sessions will be arranged according to the order in which delegations request their new slot numbers from the Master of Ceremonies (MC).

 

📌Time Limit

Each additional photo session will also be limited to 5 minutes.

 

📌​Repeated Requests

Delegations may continue requesting additional photo slots in subsequent rounds until all photography requirements have been completed.

To ensure a smooth, efficient, and successful photo session for all participants, the Organizing Committee kindly requests all delegations to:
